Operated by North Music Trust, Sage Gateshead is an international home for music and musical discovery, bringing about a widespread and long-term enrichment of the musical life of the North East of England. Our inclusive approach enables all our performance, learning and participation programmes to be constantly inspired and supported by each other.

Personal information we collect
Personal information is any information that relates to an individual. It does not include information where the identity has been fully and effectively removed (anonymous data).
When you purchase a ticket from us, sign up to our mailing lists, become a member or register an account with us, make a donation, register for an event or use any of our other services, we will ask for your personal information to the extent that this is required and appropriate for the delivery of the service. Such personal information includes:
- Identification information, such as your name and date of birth;
- Contact information such as your email address, telephone number and home address; and
- Financial information such as payment card details and billing address.
If you contact us, for example to provide your feedback, we may keep a record of that feedback and correspondence, as well as your name and contact details.
When you access our website, we also collect information about your computer, including, where available, your IP address, operating system, and browser type. We do this for system administration purposes, including to analyse trends and gather broad demographic information for aggregate use so that we can improve the site, and deliver customised, personalised content.
We may also collect your personal information where we use your image taken in a photo or recorded in a video. We never take photos or videos in private settings. We never take such photos or videos of children under the age of 18.
We may also receive your personal information (name and contact details) from your company or association where you are a member of the music organisation hiring our facilities if we need a record of the individuals who will be using our premises.
Sensitive Personal information
Under data protection legislation, certain personal information is considered more ‘sensitive’ (e.g., information relating to race, religion, political affiliation and health). This is also known as ‘special category data’. From time to time, we may ask you to provide special category data, but will only do so where we have a valid reason and where the law allows us to. For example, we may ask for this information in order to accommodate your access to our premises should you be registered disabled and as part of our Access Requirement Register.

Why we process your personal information
We may process your personal information for various purposes, including:
- to facilitate any transactions you want to make (including purchasing tickets and making donations), including to send you any tickets you purchase;
- to contact you, including to respond to your inquiries;
- to send you our newsletters, topic updates or event invites which we think may interest you;
- for business purposes, such as analytics, research, advertising and marketing, promotional and operational purposes;
- to maintain, operate, customise, and improve our services;
- to organise the event that your company or association is booking our facilities for;
- for health and safety reasons including in connection with ongoing COVID-19 safety protocols;
- to comply with a specific legal requirement and to maintain our security; or
- as otherwise disclosed at the time of collection or use.
Our Lawful Basis
We will only use personal information when the law allows us to (i.e. where we have a ‘lawful basis). Most commonly, we will use your personal information in the following circumstances:
- Where it is necessary for our legitimate interests (or those of a third party) and your interests and fundamental rights do not override those interests. For instance, we will rely on legitimate interests to collect personal data through photos and videos.
- Where it is necessary for the performance of a contract with you.
- Where it is necessary to comply with a legal obligation on us (for example, reporting to HM Revenue and Customs, Companies House or the Charity Commission).
In some circumstances, we may ask for your consent to use your personal information for a specific purpose. In particular, we may obtain your consent before we send you any email marketing, newsletters or other communications about topics and events which we think might interest you. You may also unsubscribe from our email communications by following the instructions in any Sage Gateshead email that we send you, or you can withdraw your consent and request for us to remove your personal information at any time by emailing us at email@example.com.
If you have opted out of our email marketing and communication, we may still contact you if, for example, there is any important information about the events you’ve booked or to inform you of any changes that affect you.
We do not carry out any automated decision-making using personal information which produces legal effects or otherwise significantly affects individuals.
Retaining your personal information
We typically retain personal information for a period of eight years after your association with us has come to an end. There may be circumstances in which we can retain personal information for longer. You have the right to request us to remove your data, as stated in our “your rights” section.
We may tell you about concerts, events and other Sage Gateshead related information for up to three years after your association.
The criteria we use to determine the period of storage of personal information are: (i) the respective statutory retention period; (ii) our contractual and/or business relationships with you; (iii) (potential) disputes; and (iv) any guidelines issued by relevant regulators. After expiration of that period, the relevant information is routinely deleted, as long as it is no longer necessary for the fulfillment of a contract, the initiation of a contract or to protect or defend our position or that of a third party. Photos/ videos of performers
From time to time we take videos and photos of performers who hire out our facilities. This might be a photo/ video of an individual or a group of individuals e.g. solo performer/ whole orchestra. In the context of this activity, we process personal data about performers. We use these photos/ videos for marketing and promotional purposes for Sage Gateshead. For instance, we might use a photo on our annual report or make a video accessible on our website.
We will always notify you or your performance company in advance of our recording videos or taking photos.

Photos/ videos of members of the public
From time to time we take videos and photos of members of the public attending our facilities. This is usually in a group setting so that we do not typically take a photo/ video where one individual is the focus. We never take such photos or videos of children under the age of 18. In the context of this activity, we process personal data. We use these photos/ videos for marketing and promotional purposes for Sage Gateshead. For instance, we might use a photo on our annual report.
We will put a sign up in a prominent place in our facilities where we are going to record videos or take photos.
If you do not wish us to use your data in a video/ photo, please contact us at firstname.lastname@example.org or inform a member of our staff or the photographer at the time.
You have the following rights related to your personal data:
- The right to request access to the personal information that we hold about you;
- The right to request that inaccuracies in your personal information be corrected;
- The right to request us to stop or block the processing of your personal information;
- The right to withdraw your consent to the processing of your personal information (where we have obtained your consent to do so);
- The right to request erasure of your personal information;
- The right to transfer or port your personal information to a third party, in certain circumstances;

Third Party Sharing – Suppliers
Where we use third party suppliers to provide services to fulfil our contract with you, we will only use and disclose your information necessary to allow the supplier to perform the services they provide for Sage Gateshead. Such services include email and mailing house distribution.
When we share personal data with third party suppliers, we enter into agreements with those suppliers to ensure that they store your personal information securely, and only use it in accordance with our instructions and data protection legislation.
Third Party Sharing – Other companies
We also share the following personal information with companies whose event you are attending and who have hired our facilities: your name, email address and home address. For instance, if a music company has hired our facilities for a week of concerts and you book to attend one of these concerts through our website, we will share your personal information with that music company. You should review the privacy notice of that company to understand how they can use your personal information.
Please note that this data sharing does not necessarily permit that company to send you direct marketing communications since, in certain circumstances, they can only do so with your prior consent.
International data transfers
We may transfer personal information we hold to a country outside the UK. Where we do so we take steps to ensure that your personal information is protected in accordance with appropriate safeguards (and where the recipient country is not considered to be adequate under UK law).
